frequently asked questions

Planning and quotations

What information do you need to prepare an AV quote?

Please provide your event date, venue or location, access and setup times, estimated audience size, room or rooms, event format and the equipment or technical support you think you need. A draft running order, speaker details and information about remote contributors are also helpful. If you are unsure about the equipment, tell us what the event needs to achieve and we can guide you.

How much does AV equipment hire cost?

The cost depends on the equipment, hire duration, venue, delivery and access requirements, setup time, number of technicians and level of live support. A small meeting using one display has very different requirements from a multi-room conference or hybrid production. We provide a tailored quotation after reviewing the event brief.

How far in advance should I book?

Book as early as possible for conferences, multi-day events, busy dates or specialist equipment. Early contact allows time for venue coordination, system design, content checks and rehearsals. Short-notice enquiries may still be possible depending on equipment and crew availability.

Can you help if I do not know what equipment I need?

Yes. Tell us about the venue, audience, programme, presenters and desired outcome. We will recommend a suitable solution and explain what each element is for.

Equipment hire and delivery

What audio visual equipment can I hire from OSAV?

OSAV provides professional displays and screens, projectors, PA systems, speakers, wired and wireless microphones, event lighting, lecterns, presentation clickers, confidence monitors and equipment for video, recording, streaming and hybrid events. Availability and suitability will be confirmed for your date and brief.

Is the equipment tested before my event?

Yes. Equipment is maintained, prepared and tested before the event. Systems are also checked after installation so they are ready before guests or delegates arrive.

Do you deliver, install and collect the equipment?

Yes

Can I hire equipment without technical staff?

Yes

Event and technical support

Can OSAV provide a technician for the whole event?

Yes. Experienced technicians can install, test and operate sound, visuals, presentations, lighting, cameras and hybrid systems throughout the event. Staffing is tailored to the number of rooms, programme and technical complexity.

Will you coordinate with the venue?

Yes. Where required, we can work with the organiser and venue team on access, room layout, power, setup schedules and use of any suitable in-house systems.

Can you support more than one room or breakout sessions?

Yes, subject to the requirements and availability. Tell us the number of rooms, whether sessions run simultaneously, the expected audience in each room and whether content or remote speakers need to be shared between spaces.

Can you manage presentations from several speakers?

Yes. Presentation files can be checked and organised in advance, and our technicians can manage switching, playback, confidence displays and speaker support during the programme.

Conferences and hybrid events

What equipment is commonly required for a conference?

Requirements vary, but a conference may use a PA system, lectern and wireless microphones, projection or large displays, confidence monitors, presentation switching, stage lighting, timers, recording, cameras and a technician. Panel discussions, audience questions, breakout rooms and remote speakers may require additional systems.

Which online platforms do you support for hybrid events?

OSAV can integrate common platforms including Microsoft Teams and Zoom. The best approach depends on how remote speakers and audiences will participate, whether sessions are recorded and what interaction is required. Platform accounts, permissions and test calls should be agreed in advance.

Can you record or stream an event?

Yes. OSAV can provide cameras, audio, video switching, streaming and event recording. Please tell us where the content will be shown, whether it must be available afterwards and who is responsible for speaker permissions and data protection.

Can remote speakers test their connection before the event?

Yes, and a scheduled technical test is strongly recommended. It allows audio, video, presentation sharing, permissions and the speaker’s internet connection to be checked before the live session.

Coverage and venues

Which areas do you cover?

OSAV is based in Glasgow and supports events across Scotland, including Glasgow and Edinburgh. For other locations, send us the venue and dates so that delivery, travel, and staffing can be accurately included.

Do you work in hotels, conference centres and unusual venues?

Yes. OSAV supports events in a wide variety of venues. Room layout, loading access, power, ambient light, sound restrictions and setup times can affect the solution, so early venue information is valuable.
