presentation support

Professional presentation support across Scotland

Help every presenter deliver with confidence using carefully prepared lecterns, clickers, confidence monitors and experienced technical support.

Reliable support for speakers and presentations

Presentation support is about more than supplying a laptop and screen. Presenters need confidence that their content is ready, the correct slides will appear at the right moment and they can concentrate on their audience rather than the technology.

OSAV supports conferences, meetings, awards ceremonies, training sessions and corporate events across Scotland. We can combine presentation equipment with preparation, setup and live technical assistance suited to the programme and venue.

Presentation equipment and support

Lecterns

A professional focal point for speakers, with options selected to suit the stage, venue and presentation style.

Presenter clickers

Reliable remote slide control that allows presenters to move naturally and advance their own content.

Confidence monitors

Discreet displays positioned for the presenter to view current slides, upcoming content or other agreed information.

Presentation laptops

Prepared playback systems for presentations, video and supporting content, configured around the event requirements.

Timers and presenter information

Timing and information displays can help speakers, chairs and event teams keep the programme on schedule.

Presentation management

Organised collection, checking and playback of speaker files, with an operator managing content during the event where required.

Preparing presentation content

Receiving presentation files before the event provides time to identify common issues and organise content in running-order sequence. Requirements vary, but useful preparation information includes:

  • Presentation file format and aspect ratio
  • Fonts, embedded media and linked files
  • Presenter names and session order
  • Videos, audio and internet-dependent content
  • Speaker notes or confidence-monitor requirements
  • Remote contributors and shared presentations
  • Late amendments and agreed submission deadlines
  • Any confidential or restricted material

Support throughout the event

For supported events, an OSAV technician can prepare the presentation system, test content and manage playback in coordination with the event team. The appropriate level of support depends on the number of speakers, sessions, rooms and content sources.

  • Equipment preparation and testing
  • Coordination with organisers and speakers
  • Presentation loading and running-order checks
  • Slide, video and audio playback
  • Confidence-monitor and timer setup
  • Live troubleshooting and technical support

Technical support for remote presenters and attendees

Remote speakers and attendees need to hear, see and contribute clearly. OSAV can plan the technical workflow between the venue and online participants using platforms such as Zoom and Microsoft Teams, with the event format, venue connectivity and organiser’s chosen platform considered together.

Remote presenter preparation

Pre-event technical checks can help confirm each contributor’s camera, microphone, connection, presentation sharing and joining arrangements before they appear in the live programme.

Managing online contributions

During a supported event, remote speakers, shared content and agreed audience contributions can be coordinated with the presentation running order and in-room AV systems.

Support for remote attendees

Clear joining information, monitored audio and video, and an agreed route for questions or technical problems help remote attendees participate with confidence.

Platform and connectivity planning

OSAV review required before publication: confirm the supported Zoom and Microsoft Teams services, webinar or meeting formats, attendee support provision, internet requirements and responsibility for platform licences.

Video and camera production support

Video can support the in-room audience, remote attendees and recordings made for later use. Camera and video requirements should be planned alongside presentation content, staging, lighting, sound and online delivery so that speakers and visual material are captured clearly.

  • Professional video cameras and suitable camera positions
  • Presenter, panel, lectern and wide-stage coverage
  • Playback of prepared video content
  • Camera feeds for venue screens and confidence monitoring
  • Vision mixing between cameras, presentations and remote contributors
  • Video feeds for Zoom, Microsoft Teams and hybrid-event platforms
  • Recording or streaming where included in the agreed production
  • Technical operation coordinated with the event running order

For events combining venue and online audiences, explore our hybrid event support and event production services.

Presentation support for conferences and hybrid events

Conferences may involve multiple presenters, panel discussions, breakout rooms and frequent content changes. Hybrid events add remote speakers, screen sharing and online audience requirements. Planning presentation workflows alongside sound, screens, and streaming helps ensure each audience receives the intended content.

Presentation support can be combined with our conference AV services, hybrid event solutions, screen and projector hire and sound and microphone hire.

How presentation support works

  1. Discuss: Share the venue, programme, speakers, rooms and presentation requirements.
  2. Plan: We propose suitable solutions and technical support, including a full cost quotation.
  3. Prepare: Once you have approved our quotation, systems and available content are organised and tested before use.
  4. Support: Where booked, a technician manages presentation playback and assists speakers throughout the event.

Presentation support questions

What information should presenters provide?

Ask presenters to provide their file, name, session title and any video, audio, font or internet requirements. A clear filename and final running order help the technical team organise content accurately.

When should presentation files be supplied?

Ideally the week before the event, however we understand that sometimes that isn’t possible and we can make arrangements for late changes if required. e.g. you can bring a USB A or C memory stick etc

Can presenters use their own laptops?

Yes.

Can you display notes or the next slide for presenters?

Confidence monitors can be configured around the agreed presentation workflow. Tell us what presenters need to see so we can confirm an appropriate arrangement.

Can you support multiple rooms?

Yes, subject to equipment and technician availability. Share the room schedule, number of sessions and presentation requirements so the appropriate systems and staffing can be planned.

Can you support presenters joining through Zoom or Microsoft Teams?

Yes. Remote contributors can be incorporated into the event workflow, subject to the chosen platform, venue connectivity and agreed technical provision. Advance checks are recommended so audio, video and presentation sharing can be tested.

Can you provide cameras and video production?

Camera and video support can be planned for venue screens, remote audiences, streaming or recording. The number of cameras, crew and production facilities will be matched to the event brief and confirmed in the quotation.

Are lecterns, monitors and timers available?

Yes

Discuss your presentation requirements

Tell us about your venue, programme, speakers and content. OSAV will recommend the right presentation equipment and level of technical support.
